Who we are:

Reflexology with Lynsey provides a complementary therapy services, including Reflexology, Fertility Reflexology, Women's Wellbeing support for Reflexology, Mindful Reflexology to support Wellbeing,  Indian Head Massage and Thai Foot Massage. I am fully Insured therapist by Alan Boswell Group, a member of the Association of Reflexologists (AoR) and have a full enhanced DBS check yearly update.

For the purposes of UK data protection law, Reflexology with Lynsey is the Data Controller responsible for your personal information.  Personal data is processed in accordance with the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.

The Purpose of processing Client Data:
In order to give professional Reflexology, Thai Foot Massage or Indian Head Massage treatments, I will need to gather and retain potentially sensitive information about your health and wellbeing. I will only use this information for informing your treatments and associated recommendations concerning aspects of health and wellbeing which I will offer to you.  I take basic contact details and information via my website, email, phone to allow me to contact you and handle bookings. Any information you give me via Facebook or Instagram will also be covered.
 
Lawful Basis for holding and using Client Information:

We process personal data under the following lawful bases:

  • Contract – to provide treatments and manage appointments

  • Legal Obligation – to meet legal, insurance and regulatory requirements

  • Legitimate Interests – to operate and manage the business effectively

  • Explicit Consent – for processing health information and marketing communications where applicable

Because health information is Special Category Data, it is processed with your explicit consent and for the provision of health-related care.  As a full member of the Association of Reflexologists (AoR), I abide by the AoR Code of Practice and Ethics.  This Code of Practice and Ethics is designed to encourage integrity and responsibility as a complementary therapy practitioner and

committed to give the highest possible standards of professional conduct.  As well as to uphold and further the standing of profession and that of the AoR.  The lawful basis under which I hold and use your information for me to fulfil my role as a health care practitioner bound under the AoR Confidentiality as defined in the AoR Code of Practice and Ethics.

Information is treated confidentially except where disclosure is required:

  • By law

  • To protect life or safety

  • For safeguarding concerns

  • Under a court order

  • To comply with professional or regulatory obligations

 
What information I hold and what I do with it:
 
In order to give professional Reflexology, Thai Foot Massage or Indian Head Massage treatments, I will need to ask for and keep confidential information about your personal data, health and wellbeing. I will only use this for informing regarding your treatments and any advice I give as a result of your treatment. The information to be held is:
  • Your contact details
  • Medical history and other health and wellbeing related information (which I will take from you at first consultation)
  • Treatment details and related notes (which I will take after each consultation and each therapy session)
  • I offer sessions for all ages and babies, children and teenagers  require parent/guardian written consent and the person receiving the session must be accompanied by an appropriate parent/guardian over the age of 18. As with adults  personal information will be taken and stored relating to health and wellbeing. In the event of any safeguarding concerns this will be escalated as appropriate.

Information may be shared where necessary with:

  • Professional insurers

  • Accountants

  • Legal advisers

  • Regulatory authorities where legally required

  • Emergency services where necessary to protect life or safety

Trusted service providers who sometimes process data on my behalf are: 
  • We use SumUp Payments Limited to process card payments securely

  • Accountant (where legally necessary) but use for my own accounting

  • We use Wix.com Ltd to host and operate our website and associated online forms

  • Wix may process personal information on servers located in the UK, EEA, Israel and other jurisdictions with appropriate safeguards in place.

 
How Long I Retain Your Information for:
 
I will keep your written consultation information for the following periods:
  • Adult client records will normally be retained for 8 years after the last treatment in accordance with professional requirements.

  • Children's records will be retained until age 25 (or 26 where the child was 17 at the conclusion of treatment).

 
"Where personal data is transferred outside the UK, appropriate safeguards required under UK GDPR are applied." Online information when you make a booking enquiry through the contacts form with your personal information. (Wix operates internationally and may use servers outside the UK. Their processing is covered through contractual safeguards.)

In order to prevent unauthorised access or disclosure, I have put in place appropriate technical, physical and managerial procedures to safeguard and secure the information we collect from you.   • The right to restrict processing of personal data: You have the right to request limits on how your therapist uses your personal information
  • The right to data portability: under certain circumstances you can request a copy of personal information held electronically so you can reuse it in other systems.
  • The right to object: To be able to tell your therapist you don’t want them to use certain parts of your information, or only to use it for certain purposes.
  • Rights in relation to automated decision-making: Not to be subjected to automated decisions that affect you without human review

Clients may also seek guidance from the Association of Reflexologists (AoR) or the Information Commissioners Office (ICO)  where appropriate.
  • The right to lodge a Complaint with the Information Commissioner’s Office: To be able to complain to the ICO if you feel your details are not correct, if they are not being used in a way that you have given permission for, or if they are being stored when they don’t have to be.

Therapist Rights:
Please note:
  • If you do not agree to your therapist keeping records of information about you and your treatments, or if you don’t allow them to use the information in the way they need to for treatments, the therapist may not be able to treat you  
  •  Your therapist has to keep your records of treatment for a certain period  as described above, which may mean that even if you ask them to erase any details about you, they might have to keep these details until after that period has passed
  • Your therapist can move their records between their computers and IT systems, as long as your details are protected from being seen by others without your permission.
Terms and conditions of business:
1. Appointments
I have health requests of my clients as follows;
·       If you have a cough, a fever or loss of taste and smell or have been in touch with anyone with these symptoms. Have any signs of sickness or loose stools, please contact me as we may need to postpone your appointment.
·       If you have been involved in a higher risk activity such as attendance at a large event or air travel, please contact me as we may need to postpone your appointment.
.      In return I will apply these high standards to myself. Should I feel unwell, unable to treat or if it is not advisable for me to treat, I will explain the situation to you as soon as possible before your treatment.
.     Reflexology, Thai Foot Massage and Indian Head Massage are complimentary therapies and intended to promote relaxation and wellbeing. Treatments are strictly professional and non-sexual in nature.
.     For professional mobile appointments i will respect you and your home and strict professional boundaries will be observed. Mobile appointments must take place in a safe, respectful environment. For safety purposes I may inform a trusted person of my appointment schedule and location. Any inappropriate language, behaviour requests or conduct during mobile appointments or within my own setting will result in the immediate termination of the appointment and you will not be able to re-book. Full payment will still need to be paid if the session is required to end early.
.     All clients are treated with respect and dignity regardless of age, gender, race or background. Respectful communication is expected at all times.
.     I may require to decline your appointment where safety or comfort cannot be met.
 
2. Fees
·       My fees are payable in full at the time of treatment. I accept payment by cash, card or by bank transfer.
.       I reserve the right to choose to use discretion regarding the application of any discounts.
 
 3. Cancellation and Late Arrivals Policy
.      I have a 24-hour cancellation policy. As you are aware my business is dependent on the number of clients, I can see in my clinic hours. Therefore, if you are unable to make a previously arranged appointment or you cannot have me attend your booked mobile appointment I request that you provide me with the following:
 
  • More than 24 hours notice – no charge

  • Less than 24 hours notice – 50% fee

  • No-show – 100% fee

​Late arrivals may result in a reduced treatment time while the full appointment fee remains payable.
4. Deposits
I do not currently take deposits on booking of appointment; however, this is subject to review.
·       I reserve the right to request a deposit of 50% of the treatment cost from all clients at the time of booking. Appointments made under this deposit scheme are able to be rescheduled with more than 24 hours’ notice. With less than 24 hours’ notice the deposit will be withheld as stated in my cancellation policy above.
 
5.  Vouchers
I can offer the option to buy vouchers for treatments. These may be given as gifts.
·       These treatments can be booked during my normal working hours.
·       Where an appointment is booked using a voucher and missed, or if the customer arrives late for the appointment, my cancellation and late arrivals policy above will apply.
·       When booking an appointment using a voucher customers should state their intention to use a voucher as payment and the voucher must be presented on arrival at the appointment.
·       These vouchers are non-refundable and cannot be exchanged for cash.
·       Lost, stolen or destroyed vouchers will not be exchanged or refunded.
·       These vouchers are required to be used within 12 months from the date of purchase. Vouchers will not be accepted past the expiry date shown on the voucher, which are 12 months from the date of purchase.
.      Apologies i no longer offer or donate gift vouchers for charities or as raffle prizes as a small business the cost and time to do this does, when the vouchers are often never used.
 
6. Use of background music
I only play Royalty free music within my business and therefore I am not required to have a Music License. 
7. Ethical commitment - Eco friendly therapist
I will minimise unnecessary purchasing in my practice, use up existing things before buying new. Ensure products I use  are produced in an environmentally and sustainable way and will consider the carbon footprint of items and products used in my practice.  Minimise the waste generated by my practice and make sure anything generated is recyclable or compostable. I will be using paper that is recycled/carbon balanced/FSC or PEFC certified. I will minimise the impact of my travel on the environment but do offer mobile appointments in Torquay.
8.Reflexology and other associated therapies
These are complementary therapies and is not intended to diagnose, prescribe for, treat or cure medical conditions. Clients should consult their GP or healthcare professional regarding medical concerns.  Advice provided during consultations is not a substitute for medical advice. Treatments are intended to support wellbeing and relaxation and no guarantee of specific outcomes, symptom improvement or fertility-related outcomes can be given.
